Position Overview:

The Executive/Personal Assistant completes a broad variety of administrative tasks for the owner including managing an extremely active calendar of appointments, preparing confidential correspondence, arranging complex and detail travel plans, itineraries, and agendas for the company as well as maintaining all aspects of the household to include social events planning for family activities, and general upkeep of the home.

Hours:
  • Monday – Friday: 9am – 7pm + as needed for events
  • Saturday and Sunday: Off + as needed for events
  • 50-55hrs/week
Responsibilities
Executive Assistant:
  • Provide administrative support to the owner.
  • Act as a meeting recorder, summarizing action items.
  • Conduct misc. research for organization.
  • Compose letters, memos, emails and reports.
  • Reconcile expenses and submits reimbursable items for processing
  • Assists with special projects and initiatives as required.
  • Serve as internal communication liaison as well as gatekeeper.
  • Provides administrative and other support for the senior leadership team as needed.
  • Performs diversified and confidential administrative duties requiring comprehensive skill and knowledge of organization policies and procedures.
  • Setup meetings according to the desired format i.e. in person, phone or virtual.
  • Work closely with IT, accounting and HR teams for any IT troubleshooting/updates, invoice approvals, general contract reviews and notices.
  • Assist with VIP restaurant reservations.
  • Keep track off all office supplies and ordering.
  • Maintain all passwords and login information.
  • Work with personal finance person on tax write off’s, bill payments, reimbursements, LLC’s, domains and properties maintenance.
Personal Assistant:
  • Maintain school calendars and schedule appointments accordingly.
  • Purchase uniforms and clothes.
  • Babysitting.
  • Occasional pickup and drop-offs for school/events.
  • Manage all calendars and schedules.
  • Run all errands.
  • Coordinate all travel plans.
  • Keep track of all maintenance schedules for every appliance and repair work for anything related to the house and/or landscaping.
